We often receive questions about delaying/postponing, transferring or missing a module(s).
Please note that we try to ensure that you are able to take all the modules. In the case that you are unable to attend a certain module or date there are ways that we handle that although please note that there may be extra fees involved in this case.
Please let us know the exact dates that you will not be able to attend and we can make our suggestion. If it is too many, then we would suggest postponing to another course.

If somebody misses any module (or part of any module), they have three options:
Option 1 - Take a brief BEFORE the next module.
This is NOT a full make-up. All it does is allow the student enough information in order to continue with the rest of the course.
- Cost: Student will have to pay for the time of the Educator/Mentor. The whole idea is to assist the student to continue with the full course and to ensure that the costs of offering the workshop are covered. (Polestar will not receive any revenue for this).
- Standard fee is USD90 (HKD700) per hour for a normal Educator. This includes paying for Educator time, as well as a small studio fee. (HK$550 for the teacher and HK$150 studio fee). This may vary from studio to studio (within reason).
- A brief usually takes 2-3 hours per 2-day module.
- The student will then have to re-take the full module at the next opportunity. An admin fee may be applied to this.
- This can be taught by a Mentor or an Educator

- In some cases, if you miss a module—particularly a Gateway module—and attend it at a later date, the material may feel familiar or even “easy” after completing more advanced modules. This cannot be avoided.
- However, it is essential to make up the missed material, as each module builds on the previous one. The Gateway module provides a foundation for the entire series, and it remains a required part of the certification pathway, regardless of your progression through later modules.
- Taking modules out of order is not ideal and can disrupt the intended learning flow. However, we understand that this may occasionally be necessary. Repeating foundational content, even if familiar, reinforces understanding and hones technique, adding value to your overall training. To maintain consistency in training and ensure thorough preparation for the certification exam, all students are required to complete each module fully.

Option 2: Alternatively the Student can also pay for a Full Makeup Session (BEFORE the next module)
This is a full make-up. It means that the student will have completed the module after this make-up. They will receive a certificate of attendance.
- Cost: Student will have to pay for the time of the Educator/Mentor.
- This would usually take 8 hours per 2-day module
- They do NOT have to re-take the module at the next module date
- This must be taught by an Educator
Option 3: Another alternative is that they go to another host site to take module before they continue with the course.
- Cost: Student may have to pay a transfer fee for this, depending on the policy of the hosts involved
- They do NOT have to re-take the module at the next module date.
Why do you charge an admin fee if I need to postpone one module?
Charging an admin fee when a student needs to postpone a module of a course to the next course series can be justified for several valid reasons:
- Administrative Difficulties:
- Administering course enrollments, schedules, and resources can be a complex process. When a student postpones a module, it can create additional administrative work. This updating class rosters, registration settings, online access and managing course materials. The admin fee helps offset these extra administrative costs, ensuring that we can maintain the quality of education and services provided.
- Opportunity Cost:
- When a student postpones a module, they effectively reserve a spot in two different course series: the current one and the next one. This double commitment can limit the availability of course slots for other students who may want to enroll and we lose out on the full course registration of another potential student. As you can imagine this is financially unfeasible, particularly given the fact that we have limited space and our courses are almost always at capacity. Charging an admin fee ensures that students have a financial incentive to only enrol in courses they are committed to completing, freeing up spaces for others who are ready to participate.
- Resource Allocation:
- We allocate resources based on the expected number of students in each course. When a student postpones a module, they disrupt this resource allocation by creating uncertainty about future enrollment numbers. The admin fee helps the institution allocate resources more efficiently by encouraging students to commit to a specific course series.
- Encouraging Commitment:
- Polestar Pilates Asia wants students to commit to completing their courses as originally planned. Charging an admin fee serves as a financial incentive for students to make responsible decisions and minimize disruptions to their own education and that of their fellow students. By having a strict, but fair policy in this regard ensures that disruption is kept to a minimum.
It's important to ensure that the admin fee is reasonable and transparent. Additionally, it should be emphasised that the Admin fee is not a source of revenue generation, but a genuine attempt to manage the above difficulties and create a policy that minimises disruption.
We are happy to communicate our policies and the exact details in advance. On top of that, there is flexibility for genuine, unforeseen circumstances that may require postponement without a fee. These exceptions are not written into our terms and conditions are dealt with on a case by case basis.
In conclusion, charging an admin fee for postponing a module of a course to the next course series is a reasonable policy when justified by the administrative challenges and potential impact on our business model, resource allocation and fairness to other students.
FAQ
Q: Can two (or more) people share the cost of the brief or makeup?
A: Since you are paying for the time of the Educator, the cost of the Ecuator/Mentor brief or make up can be shared between more than one person. However, the studio fee will need to be paid by each student. This may differ from studio to studio. Kindly make sure to check with the Educator and Studio regarding final cost.
Q: How do I schedule my brief or make up session?
A: Please always contact your host, who will assist in scheduling this. Usually the process is to put you in direct contact with Educator(s) and then allow you to coordinate with them directly.
Q: What should I prepare before attending a brief session?
A: Please make sure to bring your manuals from the previous modules (if any). All materials relevant for the brief or makeup session (manuals etc) will be provided to you ahead of time, or will be ready for you when you attend the brief.
